2.1 Information Collected via Google Sign-In & Calendar (OAuth 2.0)

When you authenticate via Sign in with Google or connect your Google Calendar, we collect:

• Identity Data: Full name, email address, and profile picture.
• Calendar Data: We access meeting events, titles, participants, and scheduling links via the Google Calendar API (https://www.googleapis.com/auth/calendar.events) to enable meeting automation.

2.2 Information Accessed via Microsoft Teams

When TerraSales AI is used within Microsoft Teams, we access limited information necessary to provide the Service, including Microsoft Teams user IDs and channel context.

2.3 Application-Generated Data

We collect data generated through your use of the Application, such as user interactions, configuration settings, and system logs.

2.4 Usage Analytics

We collect anonymized usage analytics to monitor performance and improve the user experience.

3. Use of Information

We use the collected information solely to:

• Authenticate users and provide core TerraSales AI functionality.
• Provide Meeting Intelligence: Automatically identify and join meetings found on your calendar.
• Sync Schedules: Manage availability and automate meeting invitations.

3.1 AI-Assisted Processing

• We use machine learning models hosted within our secure cloud infrastructure to process your transcripts, natural language queries and generate insights. This processing occurs within our controlled environment. We do not use your data to train AI models, and we do not share your data with external AI providers for inference purposes.

We do not:

• Use Google user data for advertising.
• Sell personal data to third parties.
• Use Google user data for AI/ML training without explicit, separate consent.

4. Google API Services User Data Policy Compliance (Limited Use)

TerraSales AI complies with the Google API Services User Data Policy, including the Limited Use requirements.

Our use and transfer to any other app of information received from Google APIs will adhere to this policy. We strictly prohibit the use of Google user data for serving advertisements or for unauthorized profiling.

5. Microsoft Teams & Microsoft 365 Compliance

TerraSales AI is designed to comply with Microsoft Teams App Developer Policies. Data accessed through Microsoft Teams is limited to the scope required to perform user-requested actions.

6. Data Sharing & Third Parties

To provide our "Meeting Assistant" features, we share specific data with trusted third-party service providers:

• Recall.ai: When calendar integration is enabled, meeting metadata (e.g., Zoom/Meet links and participant lists) is shared with Recall.ai to facilitate meeting recording and transcription.
• Infrastructure: We use secure cloud infrastructure for data hosting.

All third parties are contractually bound to maintain data confidentiality and are prohibited from using your data for any other purpose.

7. Data Storage, Retention & Deletion

• 7.1 Retention: We retain Google Calendar data only as long as your account is active.
• 7.2 Deletion: Users may request data deletion by contacting contact@terrasales.ai. You may also revoke access via your Google Security Settings.

8. Security Measures

We implement technical safeguards, including AES-256 encryption at rest and TLS encryption in transit, to protect your integrated account data.

9. User Rights

Subject to applicable laws, users have the right to access, correct, or delete their personal data. Requests can be submitted to contact@terrasales.ai.

10. Children’s Privacy

TerraSales AI is not intended for use by children under the age of 13.

11. Policy Updates

We may update this Privacy Policy periodically. Continued use of the Service after changes indicates acceptance of the updated policy.
